ESSENTIAL DUTIES AND RESPONSIBILITIES
• Provide day to day administrative support to executives.
• Prepare a variety of high quality, written agreements, memos, letters, and other documents.
• Prepare and archive Power point presentations.
• Arrange for meetings and conferences, including preparing agendas and minutes for same and making the necessary business travel arrangements.
• Manage, plan and organize executives’ daily calendar, including posting same, as appropriate on company calendar.
• Manage membership dues to various organizations, subscription, distribution and circulation lists.
• Prepare, edit and distribute itineraries, letters, memos and meeting minutes and keep track of RSVPs for events and meetings making sure that things are not overlooked by the executives.
• Serve as liaison with department managers to help ensure a manageable flow of work and communications.
• Be available on behalf of the Regional Director to international distributors, agents and customers.
• Perform personal assistant duties for the Regional Director as directed.
• Maintain communication with select outside parties on behalf of Regional Director, including suppliers, shareholders, business contacts, etc.
• Carry out routine office duties, including reception duties, in a professional manner.
QUALIFICATIONS
• Exceptional interpersonal, organizational, communication (both written and verbal) and critical thinking skills. Must have good grammar skills.
• Be highly proficient with computers, particularly with MS Office (all products including Word, Excel, Power Point and Outlook) and utilize various applications, including running reports, spreadsheets and mail merges.
• Consistently carry out tasks in a highly organized manner.
• Participate as a highly motivated team player.
EDUCATION and/or EXPERIENCE
Minimum of 2 year degree and at least 3 years administrative support or office work experience working with top level management required.
